Key Concepts in Task Templates

Template Structure

Each template consists of several key components:

  • Custom Fields: The specific data points to be collected
  • Workflow Steps: The stages a task moves through from creation to completion
  • Team Roles: The roles participants can have in a task

Template Versioning

Templates support versioning to allow for improvements while maintaining existing tasks:

  • Active Version: The current production version used for new tasks
  • Draft Versions: Templates being developed or updated
  • Version History: Record of all changes made to templates over time

Template Permissions

Access to templates is controlled through the permission system:

  • View Permission:
    • Users with the Template Manager role can view templates.
    • Users need template read permission to view the template gallery.
  • Create/Edit Permission:
    • The Template Manager role with template write permission is required to create or edit templates.
    • Users without this role will not see the create template button or edit options.
  • Use Permission:
    • Any user can use templates to create tasks, regardless of whether they can create/edit templates.
    • Task creation permissions are separate from template management permissions.

For more details, see the Permissions & Access Management documentation.
